AI Chat is an AI assistant that answers with knowledge of the selected company. It reads that company's AI Memory, so you can research, draft, rewrite and brainstorm without re-explaining the business every time. Use it for quick texts and ideas, then send the result to the blog editor or the social posting screen.
Before you start
Select the right company and website in the top bar of the AI App. The chat always uses the company that is selected there. See Choosing your company and website.
The chat works best when the company's AI Memory is filled in and approved. See What AI Memory is and how it is organised.
Opening AI Chat
You can open the chat in three ways:
Click the AI icon in the top bar of the AI App.
Click the AI Chat card in the Most Used section of the dashboard.
Click the AI Chat - Full screen card to open the chat as a page of its own.
The AI icon and the AI Chat card open the chat as a full-screen window on top of the dashboard. To close it, click the X button on the window.
Publish as blog post, Publish as social post and Open Image Gallery work in both the window and the full-screen page.
Starting a conversation
Click Start New Chat at the top of the sidebar.
Type your question in the message box and press Enter.
Keep refining in the same chat. Ask for changes ("shorter", "more formal", "add a call to action") instead of starting over.
Chats get a title automatically. To find an older chat, type in Search Chat in the sidebar.
Choosing an assistant
Assistants are AI experts with their own instructions, for example for a specific type of text.
Click Choose an assistant in the sidebar. The Ai Assistant screen opens with "Select one of our experts to chat with". Click Just Start to chat with the default assistant, or Find More to browse the Ai Assistants list.
Click the arrow next to Start New Chat to start a chat with the default assistant or with one of your pinned favorites.
Click the UTD Agents icon (the robot) in the sidebar to see the agents that are shared with you. Pick one and click Start Conversation.
Note: The Ai Assistants list needs a selected website. If it stays empty, select a website in the top bar first.
The company memory in the chat
The memory chip in the message bar shows which memory the chat is using.
What the chip shows | What it means |
|---|---|
Memory… | The company's memory is still loading. |
The memory's name | The chat is using this memory. Click the chip to see the company's other memories and pick one. The default memory is marked "default". |
Set up memory | This company has no AI Memory yet. Click it to open AI Memory and set it up. |
Memory unavailable | The memory could not be loaded. Click the chip to try again. |
Next to each memory in the list, the arrow icon (Open to edit in memories) opens that memory in a new tab so you can edit it. To learn how company and site memories differ, see Company memories, site memories and your personal memory.
In the chat Settings panel (the gear in the message bar) you can also choose Include Company Memory or Exclude Company Memory for the current chat.
Attaching files, images and links
Click the + button (Add Attachments) in the message bar.
Choose what to add:
Upload Images: photos or screenshots.
Open Image Gallery: pick an image from your image library.
Take Photo: use your camera.
Upload Documents: PDF, Word (DOCX), TXT, Markdown, CSV, JSON and Excel files.
Add URL: paste a webpage address. Click Add, and the AI uses that page as context.
Type your question about the attachment and send it.
Limits:
You can attach up to 20 images to a message.
When you drag and drop files into the chat, up to 5 files are processed at once. Extra files are skipped with the message "Maximum of 5 files can be uploaded at once. Only the first 5 will be processed."
Attached images and files are listed under Images and Files in the chat Settings panel.
What the AI can do for you
You don't need to switch tools on. Ask in plain language and the AI uses the right tool when your question calls for it. Among other things, it can:
search the web and read webpages,
look things up in the company's AI Memory,
calculate,
read PDFs, Word documents and spreadsheets,
create charts from data and create or edit spreadsheets,
search your meeting transcriptions,
generate images and search YouTube.
Creating images
Describe the image you want, for example "Create a square image of a sunny office terrace with two colleagues talking". The image appears in the chat.
To choose the image model, open the chat Settings panel and go to Image Generation. Gemini is the default and is marked Recommended.
Listening to replies
In the chat Settings panel, the text-to-speech section has Enable Text-to-Speech, Autoplay TTS for New Messages, a voice choice and a speed setting. When text-to-speech is on, each reply gets a Play button.
When the message box is empty, a microphone button appears so you can dictate your message.
Actions on a reply
Hover over a reply from the AI to see its actions. On a phone, tap the three dots.
Action | What it does |
|---|---|
Copy | Copies the reply. |
Retry | Asks the AI to write the reply again. |
Delete | Removes the reply from the chat. |
Publish as blog post | Closes the chat and opens the blog editor with the reply filled in. See Writing and publishing in the blog editor. |
Publish as social post | Closes the chat and opens the social posting screen with the reply as the message text. See Creating social posts. |
Opens your email app (or your device's share menu) with the reply as the message body. | |
Download | Opens Export Messages, where you choose PDF, DOCX or CSV and click Start Exporting to this file. |
Save to Memory | Saves the reply to your personal memory. You see "Memory saved successfully!" when it's done. |
Note: Publish as blog post needs a website. If no website is selected, you see "This feature is only available when you connect your website."
Tip: Save to Memory stores the text in your own personal memory, not in the company's AI Memory. To change what the AI knows about the company for everyone, edit the company's AI Memory.
Managing your chats
Click the ... button next to a chat in the sidebar to Star, Rename or Delete it.
Click the trash icon at the bottom of the sidebar (Select conversations) to select and delete several chats at once.
Click the menu button at the top left (Collapse chat / Expand chat) to hide or show the sidebar.
Tips for better answers
Say who the text is for, what it should achieve, the tone and the length.
Paste a text and ask for another tone, length or language.
