Each client is a company in Accounts, and each company can have one or more websites. This article covers creating a client company, reaching companies through your agency, reading the Memory status, and managing websites.
Before you start
You need to be an owner or admin of your agency, or an owner or admin of the company you want to manage.
Create a company
Create one company per client. Don't create a second company for a client that already exists.
Go to Companies > Create Company, or click New company on the dashboard.
Enter the Company Name. Below the field you see the company ID it will get, for example
@acme-corporation.If you belong to more than one agency, choose the Agency the company belongs to. If you belong to one agency, the company is filed under it automatically and no picker appears.
Optionally enter the client's Website. It is used to pre-fill AI Memory.
Click Create Company.
If the name matches a company that is already registered, you see This company already exists. Click Request to join to ask its owners for access, or Use a different name.
The setup page
After you create the company, the Company created! page shows what was set up for you: an AI Memory workspace, the website URL saved to the memory profile, and the company name pre-filled.
If you entered a website, the Pre-fill AI Memory from your website card appears:
Click Yes, crawl my website to start reading the site into AI Memory, or Skip for now.
When the crawl starts you see Sitemap import started!. It runs in the background, so you can keep working.
Click Go to company to open the company, or Open AI Memory to open its memory in a new tab.
When the crawl finishes, the person who started it gets an email. Next, review and approve the result. See Approving a website crawl.
Edit the company profile
Open the company and click Edit profile.
Under General Information, update Company Name, Slug, Description, Logo (PNG, JPG, WebP or SVG, up to 2 MB), Website URL and Email Domain.
Under Profile, add a Tagline (up to 160 characters) and Social links for X / Twitter, Instagram, LinkedIn, GitHub and YouTube.
Click Save Changes.
Important: Email Domain lets people with an email address on that domain find the company and ask to join. Only fill it in with the client's own domain, never a shared one like gmail.com.
The Danger Zone with Delete Company only appears for the company's owner. Deleting removes all members, teams and data and cannot be undone.
Companies under your agency
Agency owners and admins can manage every company under their agency without being added to each one. Companies that agency members create are filed under the agency.
When you open a company you reach only through your agency, the page shows: "You reach this company through your agency, but you are not listed as a member." Click Add me as admin to join the company as an admin. The company's other members can then see you in the member list.
If you are listed as a plain member of a company your agency manages, tick Enable editing with agency oversight on the company page to get the management buttons. It switches off again when you leave the page, and changes you make are recorded.
To see only your agency's companies, open the filter on the Companies page and set Search in to Agency-managed only. Agency > your agency > Overview also lists them.
Note: You can't move a company that belongs to another agency, or to UP-TO-DATE, under your own agency yourself. Contact the UP-TO-DATE support team.
The Memory column
The Memory column in the Companies list shows how far each client's AI Memory is.
What you see | What it means |
|---|---|
Crawl button | Not crawled yet, and you can start it. Click to read the website into AI memory. |
Not started | No crawl yet: there is no website on file, or you don't manage this company. |
In progress | Crawling now. Some pages are still being read in. |
To verify | The crawl finished. Click to review the result and approve it. |
Ready | Done and approved. The website is in the company's AI memory. |
A company with several websites shows a Crawl menu. Choose a site under Choose a site to crawl, or pick Crawl all to crawl every site.
If the site looks like a blog subdomain, the This looks like a blog site window recommends crawling the main domain instead. Choose the main site, or crawl the blog anyway.
The small details button next to each status explains why the company is in that state. If a crawl stopped part-way, it offers Resume crawl.
Connect a website
Websites are added by connecting the client's CMS, so the platform can publish to it.
Open the company and go to the Websites tab.
Click Connect a Site. (On the Overview tab of a company without websites, use Add a website.)
The Connect a site to window opens with the connection form. Follow Connecting a website: the connection handler step by step.
When the connection succeeds, the window closes and the site appears in the list.
You can also use Websites > All Websites > Connect a Site and pick the company first. The list offers every company you can manage, including companies you reach through your agency.
To change the CMS credentials of a connected site later, open the website and click Edit connection.
Website settings
Open the website and click Settings. You need the Manager role on the site, or be an owner or admin of its company.
Under General Settings, update Website Name, Domain, Description, Status, Visibility, Logo URL and Favicon URL.
Click Save Changes.
Status | Meaning |
|---|---|
Active | Website is live and operational |
Maintenance | Temporarily unavailable for updates |
Suspended | Access disabled by admin |
Archived | Read-only, no longer active |
Visibility can be Private, Company or Public. With Company, every member of the company can open the website, as a Reporter unless they have a higher role.
Move a website to another company
In website Settings, go to Move to Another Company.
Choose the Destination company. Only companies you own or administer are listed.
Click Move website and confirm.
Members of the website keep their access. Admins of the old company no longer see the site unless they also belong to the new company. You can move it back at any time.
Delete a website
In website Settings, go to the Danger Zone, click Delete and confirm with Delete Website. All members lose access to the website. This cannot be undone.
Join requests
People whose email domain matches a company see it under Companies that match your email and can click Request to join. The company's owners and admins get an email. Approve or deny the request on the company's Members tab under Pending join requests. See Inviting users.
