Teams save you from adding the same people to every website one by one. A team belongs to one company. When you give a team access to a website, every member of the team gets that role on the site, including people who join the team later.
Before you start
You need to be an owner or admin of the company, or an owner or admin of its agency.
Team members must already belong to the company. Invite them first if needed. See Inviting users.
Create a team
From the company:
Open the company and go to the Teams tab.
Click Create Team.
Enter the Team Name. The Slug fills in automatically.
Optionally add a Description, choose a Parent Team (Optional) to make it a sub-team, and add an Avatar URL (Optional).
Click Create Team.
From the sidebar, go to Teams > Create Team. The form works the same way, but first you choose the Company. Parent Team appears under Optional Settings once the company has teams.
Add members to the team
Open the team and click Add Member.
Choose the Company Member.
Choose the Team Role:
Role | What it can do |
|---|---|
Lead | Full team management |
Admin | Can manage members |
Member | Standard access |
Viewer | Read-only access |
Guest | Limited access |
Click Add Member.
To change a role or remove someone, open the team's member list (from Teams > the row menu > Members). Use the menu next to a person to choose Make Lead, Make Admin, Make Member or Remove from Team.
Create sub-teams
Teams can be nested. Open a team, go to the Sub-teams tab and click Create Sub-team.
Give a team access to a website
Open the website and go to the Team Access tab.
Click Grant Team Access.
Under Select Team, choose the team.
Under Access Role, choose Manager, Editor, Author, Reporter or AI User.
Optionally switch on Use a custom role instead and pick one of the company's custom roles.
Check the Access Preview, which says how many members get which access.
Click Grant Access.
If you see "No teams found in this company", create a team first.
How team access works
When you grant a team access to a website:
All current team members get the assigned role.
New members added to the team automatically get access.
Members removed from the team lose website access.
Individual members can still have higher roles through direct access. The highest role wins.
Edit or delete a team
Open the team and click Settings.
Update Team Name, Slug, Description or Avatar URL and click Save Changes.
To delete the team, go to the Danger Zone and click Delete Team.
Company owners and admins, and agency owners and admins, can delete any team in the company. A team Admin can edit the team but not delete it.
Tip: A pattern that works well per client: one content team with the copywriters, granted Reporter or Author on the client's websites, and the client's own manager as a company Admin.
