An agency usually runs many clients, and some clients run more than one website. This article explains how to structure that in Accounts so publishing, crawling and AI Memory stay tied to the right client.
The structure
Your agency is the top level. Agency Owners and Admins can manage every company under the agency.
A company is one client. Each company gets its own AI Memory workspace when it is created.
A website is one connected CMS site under a company. Each website has its own members, team access, approval settings and social connections.
Everything is created in Accounts (accounts.uptodateconnect.com).
Technical setup for each new client
Create the company. Go to Companies > Create Company and enter the company name and website URL. If you belong to one agency, the company is assigned to it automatically.
Start the first crawl. The setup page that follows offers Yes, crawl my website. It detects the sitemap and runs in the background, so you can continue while it works.
Connect the CMS with Connect a Site on the company's Websites tab. See Connecting a website: the connection handler step by step.
Approve the memory when the status reaches To verify, then complete the manual profile cards.
Invite the client's users with the right company and website roles. See Inviting users.
For the complete list, including branding, social accounts and the first content, see Setting up a new client: the onboarding checklist.
Note: If the company already exists in Accounts, creating it again isn't possible: you see "This company already exists" and can request to join instead. Use that rather than creating a second copy.
Companies with several websites
Connect each site with Connect a Site on the same company.
In the Companies list, the Memory column shows a Crawl menu when the company has several sites and none is set as primary. It offers Choose a site to crawl with each domain, and Crawl all to crawl every site one after another.
The Companies list shows the connected domains of each company. Hosts that look like test or staging addresses are highlighted, so you can spot a site that isn't worth crawling.
Set members, team access and approvers per website. See Setting approvers per website.
Separate businesses under one company
By default, a company has one memory that all its websites share. When a website is a separate business or brand, give it a memory of its own on the company's Memory tab. A crawl of that website then goes into its own memory, and the AI tools use that memory when the website is selected. Pages crawled into the company memory earlier are not moved. See Company memories, site memories and your personal memory.
Keeping clients apart
Each company's memory belongs to that company. A crawl started from Accounts can only target the company's own connected websites (or the main domain of a connected blog subdomain).
The AI tools use the memory of the company and website selected in the AI App, so make sure your team selects the right site before generating content.
