The UP-TO-DATE platform gives your agency one place to manage your clients and create content for them with AI. This article explains which app does what, how your clients are organised, and who in your agency usually takes care of which part.
The apps you work with
You use one account for all of them. Every app signs you in through the same login, so there are no separate passwords to remember.
App | Where you find it | What you do there |
|---|---|---|
Accounts | accounts.uptodateconnect.com | Set up your agency, add client companies, connect websites, invite people, give roles, set approvers and put your brand on logins and emails. |
The AI App | app.uptodateconnect.com | Create content: topic ideas, blog posts, social posts, content plans and approvals. Most day-to-day work happens here. |
AI Memory | In the AI App (the AI Memory card) and in Accounts (Memory in the sidebar, or the Memory tab of a company) | Everything the AI knows about a client: the company profile, branding, writing rules, content examples and the pages of their website. |
AI Chat | In the AI App (the AI icon in the top bar, or the AI Chat card) | Chat with an AI assistant that already knows the client you have selected. |
Social posting | In the AI App (the Social Post card) | Write and schedule posts for your client's social media pages. You connect those pages on the Social tab of a company in Accounts, or with the Social Media Connections card in the AI App. |
How your clients are organised
Everything on the platform follows the same structure:
Agency: your business. Your agency has its own members, its own branding and a list of client companies. Agency owners and admins can manage every company that belongs to the agency.
Company: one client. Each company belongs to one agency and has its own members, websites and AI Memory.
Website: a client website connected to the platform. Posts, approvers and website roles (such as Editor or Reporter) are set per website.
Team: an optional group of people inside a company. You can give a whole team access to one or more websites at once.
People get access at each of these levels. Someone can be an Admin of a company, or a Member with a specific role on one website. Roles and permissions explained covers the details.
Tip: In the AI App you always work on one company and one website at a time. The dashboard cards, AI Memory, AI Chat and your posts all follow that selection. See Choosing your company and website.
One account for every app
Accounts manages your login. When you open the AI App, you click the continue button on its login page and Accounts signs you in. If you are already signed in to Accounts, you go straight through.
Your password, two-factor authentication and passkeys are all managed in Accounts under Settings. See Signing in to your account and Managing your profile, password and security.
Your brand in front of your clients
Agency owners and admins can add their own logos, colours and login texts in Accounts. Once that is set up, your clients see your agency's name and logo on the login screens, in the AI App and in the emails the platform sends, instead of UP-TO-DATE. See White-labelling: your brand on logins and emails.
Who does what in a typical agency
Every agency divides the work differently, and access depends on the role you give each person, not on their job title. This is a common split:
Person | Mostly works in | Typical tasks |
|---|---|---|
Agency owner or admin | Accounts | Agency branding, creating client companies, inviting staff and clients, assigning roles |
Account manager | Accounts and AI Memory | Approving the website crawl, completing the client's AI Memory, setting approvers, keeping in touch with the client |
Copywriter or content team | The AI App | Topic ideas, writing blog and social posts, sending posts for review |
Client | Review emails, sometimes the AI App | Reviewing and approving posts. A client with the Reporter role can also create content, which then needs approval. |
