The Memory tab holds the company profile: a set of cards that tell the AI who the client is, what they offer, who they talk to and what to stay away from. A crawl fills part of it. The rest only your agency or the client can answer, and those answers make the difference between generic and on-brand content.
Before you start
You need edit rights on the company memory (company Owner or Admin, or a member with Can edit memory). See What AI Memory is and how it is organised.
Crawl and approve the client's website first, so Pre-fill has content to read. See Approving a website crawl.
Finding your way around the cards
Open AI Memory and stay on the Memory tab. The toolbar at the top gives you:
Search cards... to jump to a card by name.
Filters: All, Identity, Communication and Default Settings.
Grid view (all cards at once) and Document view (a list of cards on the left, one card open on the right).
Pre-fill, to draft cards from the website.
View as JSON (for AI), which shows the compiled profile data.
Save. Changes also save automatically about a second after you stop typing, and the button then reads Saved.
The cards
Group | Cards |
|---|---|
Identity | Client Information, Web Services, Content & About, What we are not, Exclusions, Products, Services, Listing / Overview, Team, Contacts, Sector Memory |
Communication | Data sheets, Examples, Keywords, Writing Style, Image Style, Voice Style, Video Style, Language, Reach, Timing, Target Audience |
Default Settings | More Settings |
A few cards are filled from other places:
Products, Services and Listing / Overview follow the page types in the Sitemap tab. A page classified as Product appears on the Products card. To move an item, change the page type in the Sitemap.
Data sheets and Examples show what is on file in the Data sheets tab and in Branding > Content Examples.
Pre-fill cards from the website
Click Pre-fill in the toolbar.
Wait while the Pre-fill from website window reads the crawled content.
Review each suggestion. Fields that already have a value are unchecked and marked overwrites existing, so nothing you wrote is replaced unless you tick it.
Tick the suggestions you want and click Apply (the button shows how many are selected).
Click Regenerate for a fresh set of suggestions. If the window says No suggestions yet., crawl the site in the Sitemap tab first and try again.
Complete what the website can't say
Pre-fill only knows what is on the website. Give these cards your own attention:
Target Audience: who the company talks to. Add one entry per audience, each with its own market, place, age and language.
What we are not: what the company gets mistaken for. One sentence here stops the AI from confusing the client with a different trade that shares its name or keywords.
Keywords: the terms the client wants to be found for.
Timing: yearly events and the client's own events and dates.
Language and the style cards (Writing Style, Image Style, Voice Style, Video Style).
Contacts and Client Information: check addresses, phone numbers and opening hours carefully, because the AI quotes them.
Set exclusions
Exclusions tell the AI what never to write about or say.
On the Exclusions card, click Import Exclusions.
Under Standard exclusions, select the general topics to avoid.
Under Client-specific exclusions, type anything particular to this client, such as competitor brand names, pricing or words like "cheap".
Click Done.
Tip: Rules about wording and tone (banned words, formal or informal address) belong in Branding > How we write. Use Exclusions for topics and content the AI must avoid. See How we write: house rules for the AI.
Which cards matter most
Open the Company summary tab and click Show gaps. The Needed list shows the answers that make the biggest difference to output quality (target audiences and keywords are among them), and each item links straight to the card that fills it. Work through that list before the Nice to have items. See The Company summary: review what the AI knows.
