The AI Prompt tab does two things. Extra AI instructions lets you add free-form guidance that every AI tool follows for this client. What the AI sees shows the exact company context the AI tools receive, so you can check what they know before you trust the output.
Before you start
Open AI Memory for the right company, then click More > AI Prompt. See What AI Memory is and how it is organised.
You need edit rights on the company memory to change the instructions.
Add extra instructions
In the Extra AI instructions box, write your instructions in plain language.
Keep an eye on the counter under the box. The limit is 8,000 characters.
Click Save instructions. The button briefly shows Saved, and the preview below updates.
Your instructions are added word for word to the company context, marked as instructions the AI must always follow. They apply to AI Chat, content generation and every other AI tool that reads the memory.
Examples of good instructions:
"Always mention that viewings can be booked by phone."
"Lead with properties for sale before rentals."
"Never quote prices marked as 'on request'."
Read what the AI sees
The What the AI sees panel shows the full company context and its length in characters. It is built the same way it is for the AI tools, so what you read is what they get. It brings together:
the company profile from the Memory tab
the house rules from How we write
the client's target audiences
an index of the Content Examples and Data sheets on file (the AI looks up the examples and rows themselves when it needs them)
your extra instructions
Click Refresh after you change something elsewhere in the memory.
If the panel says Nothing yet, fill in the Memory profile or crawl the website first. If it says Could not load the AI prompt. Try refreshing., reload the page.
When to use AI Prompt and when to use How we write
Use How we write for | Use Extra AI instructions for |
|---|---|
Tone of voice, formal or informal address | Business facts the AI should always bring up |
Banned words and preferred terms | Priorities between products, services or locations |
What may be claimed, required disclaimers | Temporary instructions, such as a running campaign |
What to lead with, calls to action to avoid | Anything that doesn't fit a How we write rule |
How we write has a fixed structure, can be drafted from the website, and can be answered by the client through a link. Put style rules there first. Use extra instructions for what's left. See How we write: house rules for the AI.
Tips
Don't repeat or contradict other rules. If a rule already sits in How we write, don't restate it here in different words. Two versions of one rule confuse the AI.
Be specific. "Mention free parking at the city-center location" works better than "Mention our facilities".
Put facts where they belong. Opening hours go in the profile and prices in Data sheets, so they also appear in the Company summary and stay easy to update.
Review temporary instructions. Remove a campaign instruction when the campaign ends.
Test after a change. Ask AI Chat a question about the client and check the answer follows your instruction. See Using AI Chat.
